Volunteer training manuals, printed for each orientation
Our volunteer training manual printing turns your policies, procedures and contacts into a coil-bound manual for every new volunteer. Order 10 to 100 copies for each orientation, approve a proof, and reorder the same edition next time.

Pick a format
Most manuals are mostly text, so black and white keeps the cost down. Choose color when maps, photos or color-coded steps matter.
| Your manual | Format | 25 copies | 50 copies |
|---|---|---|---|
| Policies and procedures, up to 48 pages | Black-and-white coil workbook, 8.5 x 11 | $299 ($11.96 each) | $529 ($10.58 each) |
| With color photos or maps, up to 48 pages | Color coil workbook, 8.5 x 11 | $369 ($14.76 each) | $649 ($12.98 each) |
| A quick-reference guide, 8 to 16 pages | Half letter booklet, 5.5 x 8.5, stapled | $119 ($4.76 each) | $169 ($3.38 each) |
Any whole quantity from 10 to 100 is priced in proportion between tiers. Boxes are included and postage is at cost; the price calculator shows the delivered total for your ZIP code.
Both coil books have a full-color front cover on 80 lb cover stock, so your logo and mission still show in color. The quick-reference booklet is a smaller, lower-cost option for volunteers to keep at hand during a shift.
What goes in a volunteer manual
Follow the order of your orientation, so trainers and volunteers turn the same pages together.
| Section | What it covers |
|---|---|
| Welcome | Your mission, who you serve and what volunteers make possible |
| Roles and shifts | Each role, how to sign up for shifts and who to tell when you can't come |
| Policies | Conduct, confidentiality, safety and working with children or vulnerable adults |
| Procedures | Check-in, opening and closing, handling donations, reporting an incident |
| Contacts | Staff names, phone numbers and the emergency plan |
| Sign-off and notes | A page to initial each section during orientation, and lined pages for notes |
Number every page and add a table of contents. Trainers can then say "turn to page 12" and everyone gets there at once.
Set up the file
Send one PDF of single pages in reading order.
- Page 1 is the front cover. It prints in full color. Leave the back cover out; it is blank cover stock.
- Up to 48 interior pages after the cover, at 8.5 x 11 in, or 8.75 x 11.25 in if anything runs to the edge.
- Keep 0.5 in clear on the coil edge so no text lands in the holes.
- Black-and-white manuals: use gray shading, not color, for boxes and highlights, and set body text in solid black.
Our Coil workbook template, 8.5 x 11 in (Word) (DOCX) already has the coil margins and a cover on page 1, and Print guide: letter coil workbook (PDF) marks the safe area for design apps. Working in Word or Google Docs? See how to print a workbook from Word or Google Docs.
Keep the manual current
When a policy changes, upload the new edition and approve a new proof. Put the edition date in the footer, such as "Revised March 2027", so staff can spot an outdated copy on the shelf. Between changes, reorder from your saved file: we keep your approved file, and you confirm it is still current before each reorder.
Order for each orientation
Work back from the orientation date.
- Upload your PDF and tell us the date.
- You get a digital proof the same business day we receive a complete file. Approve it or ask for one round of changes.
- We print and bind in 1 to 3 business days after approval and payment.
- USPS Ground Advantage carries the box to your office or training site.
Count new volunteers, add trainers and staff, then a few spares for late sign-ups. Each order ships to one address and starts at 10 copies.
